Application for various certificates for graduating students

How to apply for certificate issuance

※Please note that the office will also be closed during the GW period, Obon period (around August 13-16), and year-end and New Year period (December 29-January 3).
※Please note that it may take longer than usual for some types of certificates.
Regular students (MC, DC):Those who completed their studies before 2001 (H13) (e.g. A0K0△△△△).
Non-regular students (undergraduate research students, etc.):Students enrolled before 2012 (H24).

Certificates can be applied for at the counter, by mail, or by e-mail.
We accept requests by e-mail, but please note that you must send a self-addressed envelope.
※We do not send the money overseas. If you reside overseas, please apply by designating a proxy recipient in Japan.
In order to protect your personal information, the Graduate School will ask you to present an ID card or other identification to confirm that you are applying of your own volition.
We apologize for the inconvenience and appreciate your cooperation.

Certificate in English / 3 to 5 days after receipt


We cannot promise that we will be able to issue the certificate by a certain date, so please apply well in advance.
※Please note that it may take longer than the above even if the number of certificates issued is large.
※The above days exclude Saturdays, Sundays and national holidays.
※In case of e-mail, the date of receipt will be the date the e-mail is received, but after 5:00 p.m., the next day will be the date of receipt.
※If you are sending by mail or e-mail, please apply well in advance. If you are in a hurry, please use the “Express Delivery” service. Please note that it may take more than one week after the application is received, depending on the type of certificate (e.g., certificate of academic ability for teaching license).
Please note that it takes longer than the above to issue certificates for those who fall under the following categories. (Approximate time: 1 week to 10 days)

Application at the counter

Please fill out the Certificate Application Form and submit it to the Educational Records and Programs Section during office hours.
You will need to present youridentification card (student ID, driver's license, national health insurance card, residence card, etc.) at the counter.
※Please note that some certificates cannot be issued on the spot.

Application by mail and e-mail

Please fill out the Certificate Issuance Application Form, enclose a copy ofapplicant's ID (student ID, driver's license, national health insurance card, or residence card) and a self-addressed, stamped envelope, and send it to the Educational Records and Programs Section.
※The certificate application form and a copy of the applicant's ID may be submitted by e-mail.
However, from the standpoint of protecting personal information, we recommend that you set a password when sending documents containing personal information as email attachments.
Please be careful with your personal information by informing us of your password in a separate email, and by not including your personal information in the body of the email.

If you wish to receive the money by proxy, the following documents must be submitted.

  • Copy of the applicant's identification (student ID, driver's license, national health insurance card, residence card, etc.)
  • Certificate Application Form
  • Proof of identity of agent (copy of driver's license, health insurance card, or residence card)
  • Power of Attorney (prepared by applicant)
  • Envelope with return stamp attached

※Copies of identification submitted by applicants and agents will be used only for the issuance of certificates.

Suggested return envelope and stamps

The rates for envelopes and stamps (domestic rates) are as follows (please note that the rates have changed since October 1, 2024)

※If you wish to have the envelope strictly sealed, please affix a stamp of one higher rate.
※If you wish to have your items sent by express delivery, please indicate “express delivery requested” on the application form and add a 300-yen stamp (250g or less).
※Do not send cash in lieu of postage stamps.

Precautions

For those who were awarded a degree only by submitting a thesis (Doctoral dissertation), please see Where to request certificates, etc. (Doctoral dissertation) as the request address is different.
